Rental Rates (not including HST):
- Prime time is Friday and Saturday at a rate of $375. This includes the whole hall (large room, small room, kitchen, and bar). Buck and Doe Events are $525 plus a $1,000 surety.
- Sunday to Thursday – Large room is $120, Small Room is $50, Kitchen is $60, and Bar is $50 (should the full kitchen not be required, i.e., stove and dishwasher, it is reduced to $35. All rentals require a $50 surety.
- Those renting only the large or small room may use the coffee maker at no extra charge.
- The price includes all dishes, pots, cutlery, coffee makers, etc.
- PA system is an additional $10 fee.
- Daytime rental of the ball diamond is $25.00 per use. Nighttime rental is $40 which includes the use of the lights.

Regular Rentals: February 1st to September 30th is $200. October 1st to January 31st is $220.
Picnics: $95.00 (includes the booth with outside tables and chairs, fridge and microwave in the booth, and outhouse, but not the kitchen).
Rental FAQ's:
- Complete and sign the rental agreement and return a copy to the Booking Agent
- Follow the Municipal Alcohol Policy, as amended
- Obtain a Special Occasion Permit (SOP)
- Obtain "Party Alcohol Liability Insurance" with coverage no less than $5 million for the event - naming the Township of South-West Oxford as additional insured
- Display a copy of your SOP and insurance certificate at your event (at the bar).
Section 3.3 of the Noise By-law states that, "No person shall emit or cause or permit the emission of sound that is clearly audible at a point of reception from the operation of any electronic device or group of connected electronic devices incorporating one or more loudspeakers or other electro-mechanical transducers, and intended for the production, reproduction or amplification of sound unless an exemption has been granted by the Council of the Township of South-West Oxford."

Responsibilities are clearly stated on your rental contract. The signature on your contract constitutes the acceptance of any and all terms and conditions listed. Please make any caterers, decorators, florists, etc. aware of the expectations stated.
This will be coordinated through the booking agent. If the Township acts as the booking agent (e.g., for Dereham Centre Hall), payment can be made at the office via cash, cheque or debit when you are picking up the key. For other facilities, payment must be made by cash, cheque or e-transfer to revenueofficer@swox.org (note reason for payment). A deposit or surety may apply depending upon the terms of the rental. If payment has not been made in full, a late payment fee for any outstanding balances may also apply.
The Township supports the goals of Future Oxford and Oxford County to be zero waste by 2025 and 100% renewable by 2050. Help us do our part by reducing as much waste as possible. Below are tips you can implement at your next event:
- Set a goal for the maximum number of garbage bags sent to the landfill.
- Consider using electronic invitations.
- Identify local vendors that rent re-useable items, or use re-useable items already present at the venue.
- Request that your caterer source local products and generate less waste (i.e., no plastic wrap).
- Use recycling bins, green cones and composters wherever possible.
- Avoid the following:
- Laminated materials and heavily dyed paper - generally not accepted by recycling centres.
- Decorating with balloons - 5+ years to decompose.
- Food wrappers - up to 75 years to decompose.
- Polypropylene items (i.e., drinking straws, water bottle lids) - up to 100 years to decompose.
- Styrofoam plates, cups and containers - up to 500 years to decompose.
